Setup the Aneto EVM application for the first time

To ensure a seamless onboarding experience, please be aware of the following key steps:

  1. If you were not the individual who installed the app, it is essential to connect with the person who did. Request them to grant you administrative privileges at the app level. This can be achieved by navigating to "Settings -> User Access," selecting your name, and then choosing the "Admin" access right.

  2. Additionally, you should ask to be assigned as an "Admin" within the "Hourly Rates" module. This can be achieved by navigating to "Settings -> Hourly rates, and User access Tab" selecting your name, and then choosing the "Admin" access right.

These steps are crucial for full access and control over the application's features.

 

Before you begin utilising our application, it is crucial to complete the following setup steps in the specified order for optimal functionality:

1. Add Your Company in the Companies Module

Begin by accessing the Companies module to add your first company, which is typically your own organization, into the system.

Note: The only mandatory field is the company name. You may choose to fill in the remaining fields at a later stage, as per your convenience.

2. Configure your EVM App settings

To tailor the Aneto EVM App to your specific needs, navigate to "Settings -> Settings". Here, review and adjust any of the following configurations as required:

Configuration for Time Spent Calculation

Adjust the Method for Calculating Time Spent Hours in the EVM App

  • Time Spent Cost and Price Calculation Based on Time Loggers: The EVM app calculates the issue's time spent cost and price based on the hourly rates of individuals logging time. In scenarios where more than two people track time on a single issue, but it is assigned to only one of them, the system will compute the cost and price using the rates of the two contributors.

  • Time Spent Cost and Price Calculation Based on Assignee: Alternatively, the issue’s time spent cost and price can be calculated based on the assignee's rates. This means that regardless of who logs time on the issue, the system utilizes the assignee's cost and price rates for calculation. Note: This method may result in less precise calculations.

Schedule settings

In this section, you can retrieve the configured working hours per day and working days per week from your Jira settings. An 'Update from Jira' button is provided for your convenience. Utilize this feature to synchronize the Aneto EVM app with any changes made to these settings in Jira.

 

Configure the first day of the week

In this section, you can specify the first day of the week according to your company's standard. This setting can be configured independently for projects and retainers, allowing for tailored scheduling to align with your organizational needs.

Reset Your Google Token Option

This feature facilitates the integration of Google Sheets with the Aneto EVM App. Occasionally, when generating reports in Google Sheets from the Aneto EVM App, the Google token may expire and fail to renew automatically, leading to errors. In such cases, you can easily reset your token by clicking this button.

 

Jira issue hierarchy configuration

Access this module by selecting the "Nodes Hierarchy" tab in the settings screen.

Initially, you will find Epic, Standard, and Sub-task issue types set as defaults. To customize which issues are included in the Aneto EVM application, click on the icons for Standard or Sub-task issues. Any unselected issue types will be excluded from consideration in the app.

Additionally, you have the option to include higher hierarchical level nodes, such as "Project" or "Initiatives." These can be integrated into the Aneto EVM App's analysis.

To establish a new hierarchical level, first create a custom issue in Jira. Afterward, return to this screen to designate this new issue as a higher-level node.

 

 

3. Providing Appropriate User Access

Security is a fundamental aspect of the Aneto EVM application. Each element of the app has been meticulously designed to ensure that sensitive information is accessible only to authorized personnel. Before adding any sensitive data or users to the system, it is crucial to comprehend the application's security mechanisms. Key sensitive information includes hourly rates, project budgets, costs and prices, and specific EVM Key Performance Indicators (KPIs) such as Budget at Completion (BAC).

Your organization bears the responsibility for configuring the necessary settings and access combinations to protect this confidential information effectively.

Outlined below is the Role-Based Access Control (RBAC) system, which details how the Aneto EVM app facilitates enhanced control over user access:

 

 

4. Establish Hourly Rates for Your Users

Navigate to 'Settings → Hourly Rates' to begin configuring the hourly rates for your team members. Utilize filters to assign custom rates for resources, allowing for differentiation based on company or specific projects.

5. Setup your first projects

  1. Initiating Project Creation: Start by navigating to the 'Projects' section. Here, click on the “+ Add New Project” button to begin the process.

  2. Creating Your First Project: Follow the steps to create your initial project. For detailed guidance on all the available project configuration options, please refer to the Projects Module documentation.

6. Set Up Your First Retainers

  1. Starting Retainer Creation: Head to the 'Projects' section and click on the “+ Add New Project” button to initiate the setup.

  2. Creating Your First Retainer: Proceed to create your initial retainer. For comprehensive insights into all configuration options available for retainers, please consult the Retainers Module documentation.

7. Make Your First Import

Having successfully configured your application, it's time to proceed with your first data import.
